An equitable fee structure includes open billing polices applied equally to all clients. Standard billing arrangements include discounts for pre-payment of renewable services and surcharges for late payment.
Common Billing Policies
All invoices are due upon receipt. Invoices will be rendered for all work undertaken with the clients knowledge and consent; fees are never contingent on the financial results portrayed in any reports we complete (eg tax refunds, net income, etc).
Due to recent problems with counterfeit bills, we will not accept bills larger than $50, and not more than $200 in total.
Unpaid invoices accrue interest at 2% per month compounded monthly (26.8% annually). Interest may be reduced if a satisfactory payment arrangement is negotiated, and post-dated cheques are provided for the full amount and term.
A $25.00 surcharge is applied for each payment not honored, for whatever reason.
Tax returns and other government filings may be withheld until payment for related services is received. We are not responsible for penalties and interest which may be incurred by the client as a result.
Individual Billing Policies
Personal tax services are invoiced upon completion. Files are accepted and processed without retainer. Files delivered before March 31st are granted a 10% discount to assist in meeting the income tax filing deadline.
Initial financial planning services are invoiced in full upon delivery of initial reports to client. Annual renewals are invoiced in two equal installments on May 31st and November 30th.
Business Billing Policies
We require a retainer equal to 50% of the quoted fees for all new business clients. Retainers are applied to reduce the first invoice issued; invoices are issued upon completion of the work.
Returning clients are offered two billing options for annual financial statement services:
A. Payment in full, without discount, upon delivery.
B. Quarterly billing, including a 2% discount if paid by post-dated cheques.
C. Monthly billing, including a 5% discount if paid by post-dated cheques.
Billing cycle for quarterly or monthly fees starts six months before (and ends six months after) clients fiscal year-end.
Non-Profit Billing Policies
Retainer requirements are waived for all registered charities; otherwise the business billing policies above apply to all non-profit organizations.
